The role of the project manager in ensuring privacy
Target skills
Privacy of data doesn’t concern only business data and users data. Project management should also take into consideration personal information of the collaborators. Indeed, if you don’t care about the sharing of private information within your organization, employees can also be a target to extract data from attackers. So, it is important to avoid dealing with any personal information out of the scope of your collaboration. Additionally, project management implies that no personal information from your employees is shared unless it is strictly required. Here are some recommendations to set up a secure and peaceful working environment:
1. Don’t multiply tools of communication with your collaborators. Hundreds of collaborative communication tools exist. The less the better. Select the most appropriate for your business.
2. Set guidelines for collaboration. Evaluate the collaboration tools you use in your business and prepare guidelines to facilitate the entire flow of collaboration.
3. Manage document access, according to the level of communication needed (admin level, manager level…)
4. Monitor collaboration environment thanks to a project management software
5. Restrict personal information sharing to ones strictly needed.
6. Audit third-party integrations and applications. Collaborative working environment and digital project management rely a lot on third-party integrations. They should be closely monitored and audited to assure that it does not introduce any threats to your collaboration platform.
7. Organize and protect customer data. If you can properly organize and protect customer data, it is easy to facilitate secure collaboration for various use cases. Monitor what kind of information is being accessed by employees, and how secure it is to access the data via collaboration tools. Set a policy for accessing customer information when needed.
8. Implement security awareness training. Keep your team updated of internal and external privacy policies of your organization. Ensure that your guidelines are easily accessible for all.
9. Regularly audit your internal processes by a peer.
